Position Summary:

Reporting directly to the Foundation President, the incumbent serves as a primary point of contact for internal and external constituencies on all matters pertaining to the Foundation, and executes routine administrative responsibilities. The Executive Assistant also serves as a liaison to the Foundation Board of Directors and CHST senior management; organizes and coordinates executive outreach, fundraising and external relations efforts and oversees special projects.

Job Specific Responsibilities

  • Leads a broad variety of administrative tasks for the President including managing calendars, composing and preparing correspondence, arranging complex meeting and travel plans and donor site visits and events
  • Plans, coordinates and ensures the President's schedule is followed, and provides 'gatekeeper' duty to ensure appropriate direct access to the President
  • Communicates directly, and on behalf of the President and other leaders with various constituencies, including Board members, donors, Foundation staff and others on matters related to key initiatives.
  • Demonstrates exceptional judgment and authenticity while accomplishing responsibilities from the perspective of effectively managing relationships in order to maintain trust and support.
  • Researches, prioritizes and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Recommends appropriate course of action, referral or response and implements with the President's approval
  • Provides a bridge for smooth communication between the President's office and internal departments
  • Works closely with the President regarding upcoming commitments, responsibilities and status of initiatives
  • Completes critical aspects of deliverables with a hands-on approach, including drafting letters and other correspondence, recording donor and prospect interactions, etc.
  • Creates and edits slide presentations and data-driven charts and graphs
  • Manages a variety of special projects, prioritizes conflicting needs


  • More than 10 years of experience supporting C-Level Executives required
  • Experience in development and fundraising preferred


  • Four-year Bachelor’s degree or equivalent experience required

  • Walking/ Moving (from one location to another to perform work) frequently
